Using IT solutions effectively to fully support your processes.
It goes without saying that we are all constantly looking for ways to work smarter, not harder.
Nobody deliberately creates duplicated data, repetitive manual tasks, or reporting processes that take hours longer than they should and yet that’s exactly where many organisations find themselves.
It’s all part of organic business growth. Systems evolve, teams expand, and new requirements emerge. What started as a simple process can quickly become complicated, time-consuming, and difficult to manage.
At Smarter Business Processes, we work with organisations of all sizes, across a wide range of sectors and, while every client is different, there are three challenges that come up time and time again:
1. “We’ve invested in Smartsheet, but we don’t know where to start”
This is one of the most common conversations we have. You have made the informed decision that Smartsheet is the right platform for you. You know it has the potential to improve visibility, streamline workflows, and support collaboration but the challenge is knowing how to turn that potential into a practical, scalable solution.
We often find that clients have jumped straight into building sheets without first considering the underlying process. Before long, they find themselves asking questions such as:
How should we structure this?
What’s the best way to manage approvals?
How do we create meaningful reporting?
Are we using the platform effectively?
This is where experience, and the benefit of hindsight, makes a real difference. By understanding both business processes and the technology itself, we help clients build solutions that work not just today, but as the organisation grows and evolves.
2. “Our data is in too many places”
Many businesses are collecting excellent data but often they are doing so across multiple systems. Customer information sits in a CRM, financial data lives in an accounts package, operational information is stored in Smartsheet, and team updates are shared via email. Reports are being built manually using information pulled from several different sources.
The result is duplication, inefficiency, and uncertainty about which version of the data is correct. When your systems don’t communicate with each other, your people will spend valuable time moving information around instead of using it which is why integration has become such an important part of modern business operations. By connecting systems together, information can flow automatically between platforms, reducing manual effort and creating a single source of truth that everyone can trust.
3. “We’re spending too much time on repetitive manual work”
If you’ve ever found yourself updating the same data in multiple places, or carrying out the same administrative task over and over again, you’ll understand this challenge. Manual processes are not only time-consuming, they’re also prone to human error.
One client we work with has an extensively automated workflow that begins in their CRM and flows through several Smartsheets, using our Smarter Apps. Over time, the system has saved countless hours of administration and helped create a consistent process for their team; benefitting from our integration and automation services (see point 2 above). More recently, as part of their ISO accreditation requirements, they needed to report on a new KPI: the time taken to provide a service. Dates already existed in their sheets, but the method for calculating the difference between them wasn’t in place.
Using our expertise and our Smarter SheetManager app, we were able to update hundreds of sheets, across multiple workspaces, adding the necessary helper columns for the calculations, and create reporting that allowed them to analyse performance across work completed over the last two years. What could have taken days of manual effort was completed far more efficiently and can now continue delivering value long into the future.
Whatever your challenge, working smarter starts with the right conversation. The underlying challenge is usually the same: your processes aren’t being supported as well as they could be. We help clients with these challenges and a myriad of others by building better workflows, connecting systems, automating routine tasks, and providing greater visibility of data.
If it sounds like this could help you, we’d love to chat.
